I’ve developed 4 main examples that help you quantify the true cost of wearing the I.T. hat. Time Analysis This goes back to the financial analysis we went through. It is just tracking 2 numbers: The first is the time you spend per month dealing with IT issues. The second is the number of interruptions you have by your staff to address I.T. issue. Research shows it takes an average of 23 minutes to get back to a previous task, so we want to develop a value of how much time we spent on these things. Every time I have done this with a prospective client, they underestimated this number. The 2nd example is the “We’ll just deal with it” mentality. What this means is that most people will not bother the person taking care of I.T. internally, because they know how busy they are. They believe their problem is not worth interrupting the attorney, so they deal with it. We see this EVERY SINGLE TIME someone has been taking care of IT themselves. With 100% of our clients, there were always issues that had not gone unreported. These range from small annoyances that take up 5-15 minutes a day, such as computers not running properly, or issues that develop into bigger headaches had they been reported and addressed earlier on. The 3rd example, is The hobbyist principle Many of our clients are passionate Mac users; they know enough to be dangerous. As hobbyists, there is a lot they know about OS X and using a Mac. However, when it comes to the I.T. needs of running a law firm, OS X is only the visible part of the iceberg. Below the surface rests additional layers you need a deep understanding in. Areas such as networking, security, Mobile Device Management, Backup, and the Best Practices a firm needs to maximize uptime, minimize downtime and increase their staff’s efficiency. I’ve read it takes 10,000 hours to develop mastery in something and have the insight which then becomes 2nd nature. Without mastery, someone overlooks many critical things. Hobbies are great, but you do not want to take on a hobby that can have a significant financial impact on your personal or professional life, wouldn’t you agree? That last example, is the “ROI in I.T.” - the Return on Your Investment when you are taking care of I.T.. This is a way to take a closer look at what managing technology yourself is costing you. More than just the hours you spent on I.T., but looking at what you could create by investing that time into your higher ROI-generating activities. Tell me, what activities in your firm generate the highest ROI? Meeting with prospects? Vision and direction of the firm? Most profitable clients/cases? OR is it spent fixing a printer? or addressing an email issue? When you keep the role of I.T. on your plate, the real cost is not that you are saying YES to IT, it is that you are saying NO to focusing on your most important activities. If a paralegal has an IT issue, you put your most important work on hold to go help. It is this opportunity cost which costs your firm the most. If you invested all the time dealing with anything related to IT into your highest ROI activities, you would bring in tens of thousands of additional dollars for your firm.
